Did you know that there is no official register of the completed hygiene passports? Hygiene passport (the certificate and the card) must be kept in safe so you can proof your proficiency for example to your employer or the health inspector.
The card should always be kept with you at work, while the official certificate is best stored at home, possibly alongside other important work documents. If necessary, you can provide a copy of the certificate to your employer, but never hand over the original document for others to archive.
Lost Your Hygiene Passport?
If you have lost your hygiene passport or one of its parts (card or certificate), a replacement order is usually possible. If one part is still in your possession, you can send it to the tester responsible for archiving when placing your replacement order. However, if both parts are lost, you can only place a replacement order through your original hygiene passport tester, as they have your test results on file. As of January 1, 2020, testers are required to archive test papers for five years. Before this, the archiving obligation was three years.
Please note that since January 1, 2020, replacement orders are not possible if the hygiene passport was originally issued based on a degree certificate. In such cases, you must retake the hygiene passport test.
Remember: Both parts of the hygiene passport (card and certificate) are considered equally valid according to the Finnish Food Authority. You can make a copy of the card, which should also be accepted by a health inspector. However, we still recommend ordering a replacement, as losing the card again would require you to retake the hygiene passport test to obtain a new one.
If you have any questions or decide to place a replacement order, please notify us so we can expect your hygiene passport.
Replacement Orders Through Hygienepassport.fi
When placing a replacement order, please contact our customer service. The tester will need further clarification on the reason for the replacement. In your message, specify whether you lost one or both parts of the hygiene passport, when and where you took the test, and the tester's identification number or name if available.
